As a Project Support Specialist, you will be the backbone of our project operations, ensuring that all administrative, logistical, and communication aspects run smoothly. Your primary responsibility will be to bridge the gap between our local team and Japanese partners or clients. This includes preparing project documentation, scheduling meetings, tracking project progress, and managing correspondence in both Japanese and English/Indonesian.
The ideal candidate is highly organized, detail-oriented, and proactive. You must be able to thrive in a fast-paced environment, manage multiple priorities, and maintain a high level of accuracy in all tasks. Key responsibilities encompass assisting in the development of project plans, monitoring milestones, and preparing status reports. Tanggung Jawab
- Provide comprehensive administrative and coordination support to project managers and team members.
- Act as the primary point of contact for Japanese-speaking clients, partners, and stakeholders, ensuring clear and effective communication.
- Translate project documents, emails, and materials from Japanese to English/Indonesian and vice versa.
- Interpret during meetings, conference calls, and site visits to facilitate smooth collaboration.
- Assist in the development and maintenance of project schedules, timelines, and work plans.
- Prepare and distribute meeting agendas, minutes, and follow-up on action items to ensure accountability.
- Monitor project progress, track deliverables, and report any issues or risks to the project manager.
- Manage project documentation, filing systems, and databases to ensure easy retrieval of information.
Kualifikasi
- Minimum Diploma (D3) or Bachelor's Degree (S1) in any major, preferably in Business Administration, Management, or Japanese Studies.
- Proficient in Japanese language, both spoken and written (minimum JLPT N2 or equivalent).
- Must have a strong command of English and Indonesian.
- Prior experience in an administrative or project support role is highly advantageous (1–2 years).
- Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and problem-solving abilities.
- Ability to work independently as well as part of a collaborative team.
