Join Transportation Solutions Indonesia as a Fleet Document Custodian Associate and become the vital link between our nationwide operational pools and our strategic goals. In this pivotal role, you will be responsible for maintaining the integrity, accuracy, and accessibility of all fleet-related documentation. Your mission is to ensure that our document management processes are seamless, compliant, and optimized to support our dynamic logistics network.
As a key member of the Quality Operation & Analytics team, you will bridge the gap between physical records and digital data. You will oversee the lifecycle of fleet documents—from acquisition and filing to archiving and retrieval—ensuring that our organization adheres to strict regulatory standards. If you possess a meticulous eye for detail and a passion for organizational excellence, we want you to help us drive efficiency and precision across our fleet operations.
Tanggung Jawab
- Manage and organize physical and digital archives for the entire fleet, including vehicle registration, permits, and insurance documents.
- Digitize hard copy documents and ensure they are accurately uploaded into the company’s centralized database.
- Conduct regular audits of document compliance to identify discrepancies and rectify them immediately.
- Assist the Quality Operation team in retrieving critical data for strategic analysis and reporting.
- Maintain a secure and logical filing system that allows for rapid document retrieval during audits.
- Coordinate with other departments to ensure timely renewal of expired fleet licenses and certificates.
- Report any documentation gaps or administrative errors to the Fleet Manager promptly.
Kualifikasi
- High School Diploma or equivalent; Associate degree in Logistics or Business Administration is a plus.
- Proven experience in document control, fleet administration, or administrative support roles.
- Strong proficiency in Microsoft Office Suite, particularly Excel and Word.
- Excellent organizational skills with the ability to manage large volumes of data accurately.
- Detail-oriented mindset with a commitment to maintaining high-quality standards.
- Ability to work independently in a fast-paced environment while meeting tight deadlines.
- Basic understanding of Indonesian transportation regulations and compliance requirements.
