BMW Astra, a premier joint venture between BMW Group and Astra International, is seeking a highly organized and professional Secretary to the Board of Directors (BOD) for a Maternity Leave Replacement position based in Jakarta Utara.

As the Secretary to the BOD, you will act as the central point of contact for the executive office, ensuring seamless coordination and operational efficiency. Your primary responsibilities will include managing complex executive calendars, handling all incoming and outgoing correspondence, coordinating domestic and international business travel, and meticulously processing expense reports and reimbursements.

Tanggung Jawab

  • Manage and coordinate the daily schedule, appointments, and meetings for the Board of Directors.
  • Handle all incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Arrange complex domestic and international travel itineraries (flights, accommodation, visas).
  • Prepare and process travel expense reports and reimbursements accurately and on time.
  • Organize and prepare documents, reports, and presentations for board meetings.
  • Maintain efficient and confidential filing and document management systems.
  • Coordinate with internal departments and external partners on behalf of the BOD.
  • Provide general administrative and logistical support to the executive office.

Kualifikasi

  • Minimum 1-2 years proven experience as a Secretary or Executive Assistant, ideally supporting executive or C-level management.
  • Excellent communication and interpersonal skills, with professional fluency in Bahasa Indonesia and English.
  • Strong time management and organizational skills with the ability to prioritize tasks effectively.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional attention to detail, accuracy, and a proactive problem-solving attitude.
  • Demonstrated ability to handle sensitive information with discretion and integrity.
  • Diploma (D3) or Bachelor's degree (S1) in Secretarial Studies, Business Administration, or a related field.
  • Immediate availability and ability to commit to the full contract duration.
