- Manage and organize international correspondence, including emails, calls, and virtual meetings with overseas clients and partners.
- Prepare, review, and maintain critical business documents, reports, and presentations, ensuring accuracy and compliance with international standards.
- Coordinate complex travel arrangements, itineraries, and accommodations for senior staff involved in international business trips.
- Assist in scheduling and coordinating international virtual meetings and conferences, proactively managing different time zones and technical requirements.
- Maintain comprehensive filing systems, both digital and physical, for easy retrieval of international business records and confidential information.
- Handle confidential information with the utmost discretion and professionalism, adhering to data privacy protocols.
- Support daily office operations, including managing office supplies, equipment, and general administrative duties as needed to ensure a smooth workflow.
- Facilitate smooth communication flow between various departments and international stakeholders, acting as a key liaison.
Kualifikasi
- Proven experience (2+ years) as an Administrative Assistant, Executive Assistant, or similar role, preferably in an international business environment.
- Excellent verbal and written communication skills in English, sufficient for professional international correspondence and negotiations.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with various communication and collaboration tools (e.g., Zoom, Microsoft Teams).
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively in a fast-paced, demanding setting.
- High level of attention to detail and accuracy in all administrative duties, ensuring error-free output.
