Private Advertiser is looking for a proactive Operation Liaison Assistant to support our dynamic team in Singapore. In this contract role, you will serve as the primary point of contact between our headquarters and overseas offices located in South Africa, India, Indonesia, and Malaysia. Your responsibilities will include facilitating clear and timely communication, coordinating schedules, and ensuring that crossâborder projects run smoothly.
You will work closely with senior managers to gather and disseminate information, track project milestones, and prepare concise status reports for internal stakeholders. Tanggung Jawab
- Coordinate communication and scheduling between Singapore headquarters and overseas offices in South Africa, India, Indonesia, and Malaysia.
- Facilitate crossâborder project meetings, conference calls, and video conferences; maintain accurate meeting minutes and action item logs.
- Monitor and track project milestones, deliverables, and deadlines; provide regular status updates to management.
- Maintain and update the central contact database and shared document repositories to ensure data integrity and accessibility.
- Support the logistics of travel arrangements, visa applications, and accommodation for international trips when required.
- Prepare reports, presentations, and spreadsheets using Microsoft Office (Excel, PowerPoint, Word) to support decisionâmaking processes.
- Assist in troubleshooting operational issues, escalating complex problems to the appropriate teams, and ensuring timely resolution.
- Ensure compliance with company policies and procedures, particularly regarding data confidentiality and crossâborder communication standards.
Kualifikasi
- Diploma or Bachelorâs degree in Business Administration, International Relations, or a related field.
- Proven administrative or coordination experience, preferably in a multinational or crossâfunctional environment.
- Strong verbal and written communication skills with the ability to interact effectively across cultures.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning internal software tools.
- Excellent organizational skills, with a keen attention to detail and the ability to manage multiple priorities under tight deadlines.
- Selfâmotivated, adaptable, and able to work independently while also contributing to a collaborative team.
- Basic knowledge of project management principles is an advantage.
- Ability to handle sensitive and confidential information with discretion.
